Facilitator's guide · whole-team training day

📱 The JLK Staff Hub: Training Day

A full day, 9:00 to 16:30, so that every member of staff leaves able to use the Staff Hub on their own phone and the nursery tablet on the floor, and knows which one is for what. Read it through once before the day. Each session has its aim, what to show, a task everyone does, a quick check, and the problems you are most likely to meet.

Length9:00 to 16:30, two breaks and lunch
AudienceEvery member of staff, one nursery or all three
FacilitatorDirector or nursery manager, plus one room leader for session 9

Before the day

Most training days that go wrong go wrong in the first ten minutes, on a forgotten code or a flat tablet. Work through this the week before.

Welcome: why the Hub exists

9:00 to 9:30 · 30 min
AimEveryone knows what the Hub is for, that there are two ways in (their own phone and the nursery tablet), and the three ground rules for the day and after it.

What to show

Say this, or something like it“Everything you use at JLK, apart from Ovivio, is in one of two places. Your own phone, for your own things: your training, your hours, your timesheet, your notices. And the nursery tablet, for the floor: clocking in, the checks, visitors, sleep, and recording things as they happen. By half past four you'll be able to use both, and you'll know which one is for what.”

The ground rules

  1. Your own phone is for your own things, on your break or at home. The Mobile Phone and Electronic Device Use policy is clear that personal phones are not accessed during working hours. That is why the nursery tablet exists: anything you need to do on the floor is on the tablet.
  2. The tablet is shared, so it is never left signed in. You tap your face, enter your PIN, do the job, press Done. Your PIN is yours alone; never tell it to anyone or let someone sign in as you.
  3. Never a child's name in Discord. Discord is for the team: announcements, celebrations, day-to-day. Nothing that identifies a child goes there, not a name, not a photo, not initials with a room. Children's details belong only in the forms built for them, and in Ovivio.
To ensure the safety and well-being of children we do not allow staff to use personal mobile phones or other personal devices with imaging and sharing capabilities during working hours. From our Mobile Phone and Electronic Device Use policy
Everyone doesIn pairs, two minutes: “What's one thing you currently do on paper, or ask someone about, that you'd like to be able to look up yourself?” Take three answers and write them up. Come back to them at the wrap-up and tick off the ones the day answered.
Quick check“You're on the floor and you need to record that a child fell over. Phone or tablet?” (The tablet. Your phone stays in your locker during working hours.)
Facilitator notes
  • Keep this short and warm. Today is about confidence, not compliance.
  • Say plainly that today's phone use is agreed because no children are here, and that tomorrow the usual rule is back.
  • If someone says “I don't have a smartphone”: they can do every own-phone task on a laptop or a home computer. Pair them with someone today and note it for their manager.

Getting in on your phone

9:30 to 10:20 · 50 min
AimEveryone is signed in on their own phone, has the Hub installed as an app, and can find their notices and use Find an answer.

What to show

  1. Signing in. Go to justlittlekidz.co.uk/staff/welcome.html. Type First name, Last name and Your staff access code, then Unlock →. Role and nursery are not asked for: they come from the staff registry.
  2. Installing it as an app. On the Staff Hub, a yellow box says 📱 Install the JLK Staff Hub on your phone. iPhone, in Safari: Share → Add to Home Screen. Android, in Chrome: menu ⋮ → Install app. The box disappears once it is installed. It appears on the home screen as JLK Staff Hub.
  3. The menu bar along the top of the Hub: 🏠 Staff Hub · 📋 Induction · 🎓 Academy · 🎯 Training · 🕒 Timesheet · ⏰ My hours · 🎖 My CPD.
  4. Notices. The 📣 For you box on the Hub shows what has been sent to you; it hides itself when there is nothing. All notices → opens the Notices page, with Unread, Everything and Mark everything as read. Nothing disappears once read. What you have read is remembered on the server, so the tablet and your phone agree.
  5. Find an answer. The search box at the top of the Hub: ask in your own words. Answers come from our policies, the Staff Handbook, the portal and our website.
  6. Who to go to at your nursery, near the top of the Hub, opens on your own nursery.
Everyone does, on their own phone
  1. Sign in at welcome.html with your name and staff code.
  2. Install the Hub as an app. Close the browser and open it again from the new icon.
  3. Open Notices and tap Everything.
  4. In Find an answer, type: how often do I check sleeping children? Then one question of your own.
  5. Find your nursery's DSL in Who to go to.
Stand up when you've done all five, and help the person next to you.
Quick check“Where would you find a message from your manager that you read last week?” (Notices → Everything. Nothing is deleted once read.)
Facilitator notes and common problems
  • “That code didn't work.” Check the name typed matches the registry (a nickname or a double-barrelled surname is the usual cause), and that the code has the dashes. If it is still refused, take the name down and sort it at the break rather than holding up the room.
  • “Your access has been revoked.” Only a manager or director can reinstate it. Note the name.
  • No code at all: the sign-in page has an Email your manager link. Better, have the list of codes with you.
  • iPhone with no “Add to Home Screen”: they are almost always in Chrome or inside another app. Open the link in Safari.
  • The install box isn't there: it is already installed, or they closed it with ✕ once. Use the browser menu as above.
  • Private or incognito browsing forgets the sign-in when the tab closes. Use a normal tab.
  • Someone tries the nursery Wi-Fi. Gently no: the policy says no personal device on the nursery Wi-Fi at any time.
3

The nursery tablet

10:35 to 11:45 · 70 min
AimEveryone can sign in on the tablet with their face and PIN, clock in and out, take breaks, set their room, find the tile they need, and knows what the tablet won't open and why. Everyone knows what to do when it is offline.

What to show: signing in and the clock (20 min)

  1. The faces screen. “Tap your name, then enter your PIN.” A face is a photo or initials. Anyone without a PIN shows No PIN yet; a director sets it up.
  2. The PIN. Four digits. The PIN is checked against the face you tapped, so two people can have the same four digits without either getting in as the other. The tablet never keeps it.
  3. Signed in. “Hello, [name]”, then the buttons: 📍 room, Clock in, Start break, End break, Clock out, ⚙ My settings, Done.
  4. Your room. If the tablet stays in one room, that room is used. Otherwise it fills in your usual room or the room you were in last; tap 📍 to change it at any time in the day. Changing room is recorded as a move, not a clock in. In ⚙ My settings you can save your usual room, or choose No usual room · ask me each time.
  5. Breaks. If a break runs over an hour, the tablet tells you when you end it: breaks are an hour.
  6. The end of the day. From quarter to six a yellow banner on every screen, the screensaver included, says how many minutes are left. Anyone still clocked in is signed out at 6pm by the evening run (7pm at Croydon on the late nights a manager has set).
  7. Done locks it. Untouched for a minute and a half, the signed-in screen locks itself anyway.

What to show: the screensaver and the cards (10 min)

What to show: the tiles (20 min)

Signed in, the tablet shows a Find an answer box and two rows of tiles. You only see the tiles your role can use.

Every page opened from a tile has a green ← Tablet home button at the top right. A full-screen tablet has no back button; that is the way back.

What it won't open, and why (10 min)

The tablet will not open the Staff Hub, the timesheet, Ask a Director, the new-starter check-in, Induction, the Academy, Training, any course, My CPD, the career pathway or certificates. Try one: it goes back to the tablet home with the message “That page isn't available on the nursery tablet — things like the Staff Hub, timesheets and courses are on your own phone. You've been signed out here.”

Offline: the paper fallback

If the tablet cannot reach the internet it says: “No connection. Sign in on paper and tell your manager — the rota and timesheet still stand.” Show the group where the paper is kept at your nursery.

Everyone does (two groups, swap at half time)
  1. On the real tablet: tap your face, enter your PIN, check your room is right (change it if not), look at your tiles, open Find an answer and My hours, then Done. At the 10:20 break you have already practised Start break and End break for real.
  2. On your phone, in demo: open justlittlekidz.co.uk/staff/kiosk.html?demo=1. Tap any invented face, enter any four digits, and clock in, take a break and change room. Then open these (the facilitator puts them on the screen): visitors.html?demo=1 and sign in a pretend tour family; sleep-log.html?demo=1 and put a pretend child down and do a check; site-checks.html?demo=1; kiosk-board.html?demo=1 and open the fire list. Nothing in demo reaches the real records.
Quick check“The tablet says ‘No connection’ at 7:55 as you arrive. What do you do?” (Sign in on paper and tell your manager.) And: “Why can't you open your timesheet on the tablet?” (It is personal, and its draft is saved on the device. Timesheets are on your own phone.)
Facilitator notes and common problems
  • Do not practise visitors, sleep or daily checks on the real tablet. They would go into the real visitors' book, the real sleep records and the real checks. That is what demo is for. The exception is if your manager is doing today's checks for real.
  • In demo, the tablet's own tiles (Daily checks, Visitors and so on) open the real pages, which will not work on a phone. Use the four demo addresses above instead.
  • “No PIN yet” under a face: a director sends a PIN from Owner Hub → Tablets & PINs. A forgotten PIN: Send new PIN there.
  • Someone else's name on the tablet: it means someone didn't press Done. Press Done, and say it again: the tablet is never left signed in.
  • The screensaver shows only a clock: the timetable on the screensaver is Croydon's for now. Lewisham and Bromley show the clock until their own timetables are added.
  • Short on tablets? Run the real-tablet part as a queue during sessions 4 and 5, one person at a time, while the others work on their phones.
  • Self-study afterwards: the course The Nursery Tablet — everything it does (on their phone, through Training).

Something happened: record it

11:45 to 12:30 · 45 min
AimEveryone knows that telling the right person comes before any form, which form each thing goes on, and that they fill in the safeguarding, SEND and behaviour forms themselves.

What to show

On the Hub, the section 🛡️ Something happened — record it. On the tablet, the same forms are tiles under The children.

Everyone does, in pairs, on one phone

Open Which form do I use? For each made-up situation, say who you tell first and which form it goes on. Then open that form and read its questions. Do not submit anything: these forms go to real people.

  1. A two-year-old bites another child on the arm at the water tray.
  2. A three-year-old uses a swear word at lunch, laughing.
  3. A child says something about home that worries you.
  4. You've noticed a child in your room isn't using any words yet and their friends are.
  5. A visiting parent trips on a step in the corridor. Nobody is hurt.
  6. A four-year-old calls another child a name about their skin colour.
Quick check“You're worried about a child but you're not sure. What do you do, and in which order?” (Tell the DSL in person, the same day. Then record it on the safeguarding concern form. You do not have to be sure.)
Facilitator notes and common problems
  • Answers to the pairs task: 1 behaviour record (kind: hurt another child, tick that someone was hurt), comfort the hurt child first; 2 behaviour record, from the first time; 3 the DSL in person, then cause for concern; 4 SEND: something noticed, and talk to the key person; 5 accident/incident (a near miss counts); 6 behaviour record, kind: discriminatory words or behaviour, with the exact words.
  • Stop anyone typing a real child's name into a form “to practise”. If it happens, tell the manager, who can deal with the record.
  • Some staff confuse SEND: something noticed (staff, for the SENCo) with the parents' Raise a concern QR poster (for parents). They are different.
  • The Incident Log is managers only. Staff don't add to it; their manager does after reviewing.
5

Observations, EYFS moments and planning

13:15 to 14:00 · 45 min
AimEveryone can write an observation and copy it into Ovivio, find what to look out for today, find an activity, and turn it into a plan for manager approval.

What to show

Everyone does, on their own phone
  1. Read out this made-up moment: at snack, a child pours their own water, stops just before the top, and says “stop!” Everyone writes it in Write an observation, presses Suggest statements and picks one. Compare with your neighbour. (No Ovivio today; nothing is saved.)
  2. Find today's Look out for today for your age group on the Hub. Tell your neighbour one moment in your room where you'd see it.
  3. In Activities, find one activity for your room's age group and press Plan this. Look at what is filled in and what isn't. Only send it if it is a plan you will really run.
Quick check“Where is your observation saved once you've written it on the Hub?” (Nowhere. Ovivio is the record; copy it across before you close the page.)
Facilitator notes and common problems
  • The biggest mistake is closing the observation page before copying into Ovivio. Say it twice.
  • “Copy the shape, not the words”: the examples are a guide. If an observation reads like the example, it is the example.
  • Self-study: the course How to use EYFS moments (20 min) and How to run a focused activity (30 min), both on the Hub.
6

Learning: Induction, the Academy, CPD and the pathway

14:00 to 14:35 · 35 min
AimEveryone knows where their induction is up to, how a course and its practice task work, where their CPD record is, and that the Safeguarding Acknowledgement is signed in the first week.

What to show

🛡️ New since the guide was written: the Safeguarding & Child Protection course now covers everything in Annex C of the EYFS: what safeguarding means for under-fives, the factors that can lead to harm, every sign Annex C names (including a colleague's excessive one-to-one attention, and any bruise on a baby who can't yet move about), working in ways that keep children safe, and who does what. Seven modules, about 40 minutes. Everyone does it every year; anyone who did the old version this year should look at modules 1, 3, 6 and 7. Deputy DSLs have a matching update.

All of these are on your own phone only. The tablet will not open them.

Everyone does, on their own phone
  1. Open Induction and find the next step you haven't finished.
  2. Open Training, filter to ≤ 15 min tonight, and pick one course to do this week. Tell your neighbour which.
  3. Open My CPD and find Renewals coming up.
  4. New starters only: open the Safeguarding Acknowledgement from Induction step 2 and read it through. Sign it with your manager, not today unless they are with you.
Quick check“You've finished a course with a practice task. What happens next?” (Do the task in your real day, write a short note, send it to the person named, and they verify it from the link.)
Facilitator notes and common problems
  • The Training page says it plainly: CPD is completed in your own time as part of your professional development. Say it kindly and say it once; the Training page has the pacing.
  • Course ticks on one phone don't show on another: the Training page says in-progress ticks save to that device and the manager keeps the master record.
  • The pathway shows the wrong role: the role comes from the registry. Note the name and fix it after the day.
7

Policies, the Handbook, the JLK Voice and risk assessments

14:50 to 15:15 · 25 min
AimEveryone can find a policy and an answer in under a minute, knows the JLK Voice is there for the room, and knows when a risk assessment is needed and who writes it.

What to show (Hub → 📖 Policies & guidance)

Everyone does: the answer race (teams of three, one phone each)

Read a question; first team to show the answer on screen and say where they found it wins the point.

  1. Which policy covers what happens if a child is not collected?
  2. What is the JLK Voice swap for “good boy” or “good girl”?
  3. Who signs off a risk assessment?
  4. What does the Staff Handbook say about the dress code?
  5. On the safeguarding pocket card, what are the four Rs?
Hand out the printed pocket cards at the end.
Quick check“You're taking the children somewhere new next week. Does it need a risk assessment, and who writes it?” (Yes: every outing. A senior member of staff, before the outing.)
Facilitator notes and common problems
  • Check the JLK Voice question against the page before the day so you know the answer you're looking for; don't answer it from memory.
  • Teams who use Find an answer usually win. That is the point.
8

Time and pay

15:15 to 15:35 · 20 min
AimEveryone knows that clocking in is on the tablet only, can find their hours, and knows how and when to submit the timesheet, and what happens if it is late.

What to show (Hub → ⏱ Time & pay)

Everyone does, on their own phone
  1. Open My hours: is this morning's clock-in there?
  2. Open My Timesheet and find the deadline notice and the countdown.
  3. Find where you would add a day of annual leave. Don't submit.
  4. Open Report an absence and read the procedure at the top. Don't send anything.
Quick check“When is the timesheet due, and when are you paid?” (The last working day of the month; paid on the 5th.) And: “You wake at 5am with a sickness bug and you're on the early shift. What do you do?” (Text the manager after 5:30am, then phone and speak to them by 7am. Then record it on Report an absence.)
Facilitator notes and common problems
  • Today's clock-in isn't in My hours: check they clocked in on the tablet (not just signed in) and that the tablet was online.
  • Started the timesheet on a laptop, now on a phone and it's blank: drafts are saved on the device they were typed on. Finish it where you started it.
  • The timesheet will not open on the tablet. It is phone or computer only.
9

What's required of you in your role

15:35 to 16:10 · 35 min · staff, by role group
AimEach person reads what is expected of their role and leaves knowing which Hub and tablet jobs are theirs every day, every week and every month.
Uses the Career pathway. Each step on the Career pathway opens to that role: the job description (added as they come in), what our policies say the role does, what the Hub asks of it, and the recommended courses. Check before the day which job descriptions are in.

Groups

Led by a room leader while you run the managers' session next door. Each group opens its role on the roles page:

GroupRolesOpen
AApprentice · Practitionerroles.html#apprentice · roles.html#practitioner
BSenior Practitionerroles.html#senior
CRoom Leaderroles.html#room-leader
(session 10)Deputy Manager · Nursery Manager · Area Manager · Operations Manager · Director / Owner#deputy · #manager · #area-manager · #operations · #director

What to do in each group

  1. Read your role on the roles page (10 min).
  2. Sort it on a sheet of paper in three columns: every day, every week, every month. Put each Hub or tablet job in a column. (10 min)
  3. Share: each person names one thing they weren't sure was theirs before today (10 min).
  4. Write down any question for your manager; it goes to them at the wrap-up.
Prompts for the room leader running it (what the Hub already asks of each group)
  • Everyone: clock in, breaks and clock out on the tablet; record concerns, accidents and behaviour the same day; observations into Ovivio; the timesheet by the last working day; your induction and your Safeguarding Acknowledgement; read your notices; read and sign your supervision record on your phone.
  • Senior practitioners and above also see 🔍 Quality & audit on the Hub: the QA Hub and the Ofsted flashcards.
  • Room leaders write risk assessments for their room, an activity or an outing (📝 Risk assessments; a director signs them off).
  • Tour leads, whatever their role, see the Tours tiles on the tablet: the Family Tour Form and the Tour script.
Quick check“Name one job on the Hub or the tablet that is yours every single day.”
Facilitator notes
  • The prompts above come from what the Hub shows each role today. The roles page and the job descriptions are the authority; where they differ, they win.
  • Collect the questions. Answer them at the next team meeting, not on the spot.
10

Managers' session

15:35 to 16:10 · 35 min · at the same time as session 9
AimDeputies, managers and directors can find every log they are responsible for, know what is waiting for them, and know what the tablet does differently for them.

Deputies, nursery managers and directors see 🔐 Open Manager Hub → at the bottom of the Staff Hub. Directors also see 👑 Open Owner Hub →.

What to show: the Manager Hub, section by section (20 min)

What to show: the tablet for managers (10 min)

Everyone in this session does
  1. Open the Manager Hub on your phone. In Safeguarding Acknowledgements, filter to your nursery: who hasn't started?
  2. In Supervision, find who is due or overdue.
  3. In Daily Checks, find any open issue at your nursery.
  4. Last 5 minutes: open your own role on the roles page (#deputy, #manager, #area-manager, #operations, #director) and write down one thing you'll do differently next week.
Quick check“A member of staff signed their Safeguarding Acknowledgement on paper. Why does the dashboard say ‘Not signed’?” (It only knows about digital signatures. The paper copy is on the staff file.)
Facilitator notes and common problems
  • This is a tour, not training on each log. Pick the two or three logs this group uses least and spend the time there. There is more here than fits in 35 minutes: rooms, occupancy and the rota, Families, careers and absence are each worth their own short session.
  • Can't see the Manager Hub button: it shows for deputies, nursery managers and directors, or anyone given managers' area access on the registry. Check the role on the registry.
  • Remind deputies and managers that countersigning acknowledgements and approving plans are theirs, and that both show as waiting until done.
11

Wrap-up

16:10 to 16:30 · 20 min
AimEveryone completes the sign-off checklist, knows how to get help, and clocks out on the tablet.
  1. Back to the morning's list (session 1): tick off what the day answered.
  2. The sign-off checklist (below): each person ticks what they can do, and puts a circle round anything they can't yet. You or their manager initials it. Anything circled is followed up in the next fortnight.
  3. How to get help: Find an answer first; then your room leader or manager; anything about a child's safety goes to the DSL in person. 💭 Ask a Director on the Hub goes straight to the directors, with an anonymous option. A lost code or PIN: your manager.
  4. Hand out the Hub quick card.
  5. Clock out on the tablet on the way out, and press Done.
Close“Thank you. Tomorrow your phone goes back in your locker and the tablet does the floor. If something on the Hub doesn't work the way it should, tell us. That's how it gets better.”
Facilitator notes
  • Collect the sign-off sheets and keep them with the training record for the day.
  • Make a list of the codes, PINs and roles that need fixing and fix them within the week.
